How The Asset Kitchen collects, uses, shares, and protects personal information.

This Privacy Policy explains how The Asset Kitchen (“we”, “us”, “our”) collects, uses, shares and protects personal information when you visit our website, download resources, contact us, subscribe to emails, or work with us.

If you are in the UK, we process personal data in line with the UK GDPR and the Data Protection Act 2018. If you are in the EU/EEA, we also aim to comply with the EU GDPR where it applies.

UK/EU representative (if required): As a company working with people in the UK/EU, we may be required to appoint a UK and/or EU representative. If/when this is required, the representative details will be published in this section.

2) The information we collect

We collect information you provide directly, and some information automatically through cookies/technologies.

A) Information you provide

Depending on what you do on the site or how you work with us, this may include:

  • Identity & contact details: name, email address.
  • Message content: anything you write in a contact form or email.
  • Service-related information: information you share during enquiries and client work (e.g., business context, goals, constraints, decisions, and other information you choose to disclose).
  • Booking and payment information: booking details and payment status (note: card details are handled by payment providers, not stored by us).

We do not intentionally collect “special category” data (e.g., health, religion, political opinions). Please don’t include it in forms or messages unless it is genuinely necessary.

When you use our website, we may collect:

  • Device and usage data: IP address, browser type, device identifiers, pages visited, and interactions.

  • From service providers that help us run our business (listed below).

4) How we use your information

  • Send the emails you request (e.g., The Chef’s Notes) and manage subscriptions.
  • Deliver services (including scheduling, client communications, and producing any agreed deliverables).
  • Take payments and keep financial records.
  • Improve our website, services, and communications.
  • Run advertising/remarketing campaigns only where you have consented to the relevant cookies/tags.
  • Protect our business and users, including preventing fraud and abuse.

5) Our lawful bases for processing (UK/EU)

Where UK/EU data protection law applies, we rely on the following lawful bases:

  • Consent – for sending marketing emails to non-clients (where required) and for non-essential cookies (e.g., advertising/remarketing tags).
  • Contract – to provide services you request or purchase, including booking and delivery.
  • Legitimate interests – to respond to enquiries, run and improve our business, maintain security, and (where permitted) communicate with existing clients about closely related services.
  • Legal obligation – for tax/accounting and compliance requirements.

You can withdraw consent at any time (see “Your rights”). Withdrawing consent won’t affect processing already carried out.

6) Marketing emails

If you subscribe to our list, we will send you emails you’ve asked to receive.

You can unsubscribe at any time using the link in our emails.

If you download a resource, we will only add you to our email list if you explicitly opt in (or if the form clearly states it and you consent). Otherwise, we’ll use your details only to deliver the resource and any essential follow-up about that request.

7) Who we share your information with

We don’t sell your personal data.

We share data only as needed with service providers who help us operate, such as:

  • HighLevel (CRM, forms, booking, email operations)
  • Mailgun (email delivery infrastructure)
  • Zoom (calls/meetings)
  • Fathom AI (meeting transcription/AI notes, where used)
  • Stripe / PayPal (payments)
  • Banks/payment processors (bank transfer processing)
  • Advertising platforms (where consented): Meta and Google

We may also share information if required by law, to protect rights/safety, or in connection with a business transfer (e.g., restructuring), with appropriate safeguards.

8) Call recordings, transcriptions, and AI notes

We may record calls and/or generate transcripts and AI notes (e.g., via Zoom and Fathom AI) to support service delivery, accuracy, and follow-up.

Where required by law, we will obtain your consent.

If you prefer not to be recorded, tell us in advance and we’ll use an alternative note-taking approach.

9) International transfers (UK/EU)

Where UK/EU rules apply, we use appropriate safeguards for international transfers, such as:

  • provider contractual commitments (including, where applicable, Standard Contractual Clauses),
  • risk assessments, and
  • security measures designed to protect your information.

10) Data retention

We keep personal data only as long as necessary for the purposes described:

  • Enquiries (not becoming clients): up to 12 months.
  • Client records (including notes/recordings/transcripts where applicable): up to 5 years.
  • Email subscribers: until you unsubscribe, or until we remove inactive subscribers in line with list hygiene practices.

We may keep certain records longer where required for legal, tax, or dispute reasons.

11) How we protect your data

We use reasonable technical and organisational safeguards designed to protect your information, including access controls, secure systems, and limiting access to those who need it.

12) Your rights (UK/EU)

If UK/EU law applies, you may have rights to:

  • Access your data.
  • Correct inaccurate data.
  • Request deletion (where applicable).

  • Withdraw consent at any time (where processing is based on consent).

  • Advertising/remarketing tags (e.g., Meta Pixel and Google Ads tag) may be used to measure performance and show relevant ads.
